Maintain a dedicated business bank account and credit card to separate all transactions from personal finances. Record every service invoice, chemical purchase, and equipment repair promptly using software such as QuickBooks or Xero. Categorize entries by income type and expense category on a monthly basis. In Canada, make sure to track GST or HST collected and input tax credits. Reconcile bank statements weekly to catch errors early. Keep digital copies of receipts for at least seven years as audits can reach back that far in both countries. Consider hiring a bookkeeper familiar with service businesses if your monthly transaction volume is high.
Common Deductions
Pool service operators can deduct costs for chemicals, filters, and replacement parts used in client pools. Vehicle expenses, when used for service calls, are deductible. In the US, choose between actual costs or the IRS standard mileage rate. In Canada, the Canada Revenue Agency allows deduction based on business kilometers. Deduct insurance premiums for liability coverage and tools. A home office used exclusively for business can be deducted based on square footage. Equipment depreciation or immediate expensing for items like vacuums or testing kits can reduce taxable income. Track these items separately to support claims during filing.
Sales Tax and GST-HST
Sales tax treatment varies between countries. Many US states require sales tax on pool maintenance services, while others tax only materials. Verify your state’s rules and remit collected amounts accordingly. In Canada, GST at five percent applies nationwide, with HST in certain provinces reaching thirteen or fifteen percent. Register for a GST/HST number when taxable supplies exceed thirty thousand Canadian dollars annually. Charge the applicable tax on invoices and file returns based on your revenue schedule. Businesses in border regions may face additional rules when crossing provinces or states.
Quarterly Estimated Taxes
Both countries require periodic tax payments to avoid penalties. US owners calculate expected annual tax and send payments to the IRS using Form 1040-ES. In Canada, self-employed individuals make installment payments to the Canada Revenue Agency if net tax owing exceeds three thousand dollars. Track income monthly to estimate payments accurately. Maintain a reserve equal to twenty to thirty percent of profits in a separate account to cover these obligations.
When to Incorporate
Sole proprietorship status is suitable for new or low-revenue operations. Consider forming a limited liability company or corporation once annual revenue consistently exceeds one hundred thousand dollars or when liability risks increase. In the US, an LLC offers liability protection with pass-through taxation unless a corporate election is made. In Canada, incorporation creates a separate tax entity that may offer lower corporate rates on retained earnings and allow income splitting with family. Weigh the costs against the benefits of protection and consult an advisor if operating in both countries.
